If you do not consent to the aforementioned actions regarding your personal information, including that of your minor ward or learner as specified in this Notice, you can adjust your browser or device settings to limit data collection (such as cookies) or stop using our Services.

By using our Services and Website, or contacting us through our provided methods, you explicitly acknowledge that you have comprehensively read and understood the provisions outlined in this Privacy Policy. 

The Privacy Policy may be updated, relocated, or revised as needed, so please check this page periodically to stay informed of any changes.

We may occasionally test new features on the Coral Academy Platform that could affect how we collect or process personal data, including the scope and purpose of our services. If this occurs, we’ll notify you in advance and obtain your consent if required. This Privacy Policy should be read together with our Terms of Service (“Terms”) as may be applicable to you.

Please note that our website may include links to third-party websites that we do not own or control. We are not responsible for the privacy practices of these external websites.

While we strive to link to COPPA-compliant sites, we only have control over our own practices, not those of other organizations, including external programs with separate privacy policies. This Policy does not apply to the personal information of our employees, directors and owners.

Key Definitions of Terms 

The following Key Terms are used repeatedly in the information provided throughout our Policy and are defined as specified below. You can refer to these definitions as needed to understand how we define them.

Customers/Users include Learners and their Parents, Teachers, and Partners.

  • Learners are defined as minors, aged 18 years or younger, who participate in Coral Academy’s classes and activities 
  • Parents are defined as the parents or legal guardians of the aforementioned Learners;
  • Teachers on our platform are independent contractors - either individuals or organizations - who offer classes through our platform;
  • Partners are companies or third parties that we may work with, such as technology vendors, employers, customer services, schools or non-profit organizations, and who are not “teachers” as defined above,

Services refer to the Classes or Activities or any other  engagement by Customers with the Coral Academy; and

  • Classes refer to the courses developed/taught by Teachers/Organisations on our platform;
  • Activities refers to any interaction you have with us, such as participating in contests or challenges we organize, providing feedback, posting or commenting on our social media platforms, or any other form of engagement with Coral Academy, whether paid or free.

Personal Information/Data means information linked to an identified or otherwise potentially identifiable person;

Process refers to any activity related to your personal information, such as collecting, using, maintaining, storing, sharing, or handling your data.

Consent of the User: Consent from the data subject/user means they have clearly and willingly agreed to their personal data being processed. This can be done through a statement or an obvious action showing their agreement.

Categories of Personal Information Collected and Used 

The personal information we collect depends on how you use the Coral Academy Platform and may vary for each person. This includes information you provide through your interactions with us and information we collect passively. The types of personal information we collect are listed below:

The personal information we process can be grouped into four main categories: 

  1. Information you (or your Learner) provide to us; 
  2. Information we get from third parties about you; 
  3. Information we get from cookies and trackers; and
  4. Inferred and Combined Data

Information you (or your Learner) provide to us

When you interact with us, you provide information directly for your Account, Services, and Finance. Here’s a simple breakdown of how and why we process this information:

How We Collect Information: The information we collect is usually provided by you voluntarily. If it is not voluntary, it could be related to employment or legal proceedings and will comply with applicable laws.

  • Directly from You: When you engage with us or complete your profile
  • Linked Accounts: If you choose to log in using accounts like Google, etc
  • Through Partners: If you join through a partner, some data comes from them, and some from you during registration
  • Parents: If you’re a Learner, your Parent may provide your information
  • During Activities: You may be asked to submit information for assignments, or you may volunteer information like comments or feedback

Why We Collect Information: We collect this information to engage in communication regarding our activities or to address your specific requests. Other reasons:

  • Engagement: To add you to our platform so you can interact with us. This is usually based on your consent, which you can take back anytime. If you do, your classes, activities, or account may end.
  • Safety: To keep learners safe by confirming who they are. If you don’t provide required info (like a video), you may not be able to join activities.
  • Service Improvement: To provide services, help customers, and make our platform better.
  • Fraud Prevention: To stop and prevent fraud.

You can choose not to provide voluntary information, but required information is necessary for participation. The following are the categories of information that you or your learner provide to us:

1. Account Information

When you join Coral Academy, we collect your name (or the name from a linked account like Google), email address, and optionally, your phone number. We also track the Activities you participate in or show interest in, whether as a Teacher, Parent, or Learner, and maintain a record of these. For learner profiles, we ask for the learner’s name, age (via birth month and year), and optional details like preferred pronouns. In certain cases, like for teachers, creating an account may require signing a contract with Coral Academy.

2. Services

We collect information about the Classes, Activities, or other Services that you or a Learner participate in, including comments, communications, instructions, shared information (like drawings or photos), class or Teacher reviews, and video and audio recordings. We also track your activity history with Coral Academy. Uploaded items, such as photos or drawings, may include metadata (e.g., creator, modification details, date, location). 

We discourage communication outside our platform, except when necessary and specifically approved for certain courses (e.g., gaming). Occasionally, we test different versions of the website or Services to see which works better. For example, we might show one group the “load more” option and another group page clicking to understand which design is more engaging. There are no significant differences between the options, just variations in presentation to improve site design.

3. Finances

For purchases, we collect your name, credit card or other payment details, billing address, and information about the Services you buy. If we need to make payments to you, we collect your financial account information, payment details, and information about our payments, such as the reason or payment history. We also use financial information to detect and prevent fraud. To protect your privacy and ensure security, Coral Academy does not store sensitive card details, such as full credit or debit card numbers, card authentication data, or other sensitive bank information.

4. Sensitive Data

"Sensitive data" can mean different things depending on where you are. We try to give extra protection to sensitive data whenever possible. In some places, any information from a learner is considered sensitive. You or a Learner might voluntarily share sensitive information, like health or disability details, in forms, messages, or when raising a complaint or concern. Learners may join special classes for those with disabilities, and Teachers might share their disabilities within a class. However, Teachers and Learners should not have discussions that could lead to sharing sensitive information. If they do learn sensitive information, they are not allowed to share it outside Coral Academy or use it inappropriately.

4.1 Fraud

If we suspect that a Learner is over 18 or misrepresenting their identity, we may request proof of age or identity, like a video clip, birth certificate, passport, or driver’s license, to ensure the safety of other Learners. This documentation may include sensitive data, such as the full date of birth, place of birth, and government ID numbers. We only keep the necessary information, like the date of birth.

4.2 Background Check Information

Teachers and potential employees must provide information for our background check process. This includes criminal history, professional education and qualifications, work history, references, and teaching abilities.

Information we get from third parties about you

We may obtain information about you from customers, partners, third parties, or vendors. This could involve getting your information directly from these sources. Below, we explain how and why we process this information.

How We Collect Information: We may obtain information from third parties by purchasing or leasing it, through our vendors, or by engaging with you via platforms like social media. Additionally, our current customers may share information with us through our referral program. We also partner with technology companies to jointly provide certain services. In some cases, you may need to create an account with these third parties to use their services, and when you link that account with your account on our platform, they may provide information to us.

Please note that we do not buy or lease information about Learners from third parties.

Why We Collect Information: Typically, we collect or purchase data to grow our business, which is in our legitimate interests. We may use this data to report suspicious activity to local agencies for fraud prevention or Learner safety.

The following are the types of information we receive about you from third parties:

Information from Partners: Coral Academy collaborates with various organizations, including schools, non-profits, and employers, to offer our services. Typically, these Partners will share your information with us so you can participate in the Classes or Activities on the platform. Partners will usually provide you with detailed information when their involvement is established, especially if they control the Classes or Activities. In such cases, you should review their privacy notice to understand how they manage your information.

Information from Vendors: Sometimes, we purchase or lease data from third parties. We do not know how these third parties collect your data but it usually comes from advertising services or companies you've interacted with. We do not sell this data but may share it with our vendors for specific purposes, like printing and mailing marketing materials. We may receive data about groups of people or individual addresses for marketing or reporting purposes.

Information from Other Third Parties: If you log into our services using linked accounts like Google, you may provide additional information. Check the privacy notices of these providers to understand what they share with us. We might also obtain information from third parties if you use their services in our Classes or Activities. While we encourage teachers to use trusted third party tools, we do not have control over these third-party services and cannot guarantee their accuracy.

Information we get from cookies and trackers

What information we collect: We automatically gather data about your device, connection, and usage when you interact with Coral Academy. This includes:

  • IP address which gives us details like your location (country & state), device/browser details, operating system, etc.
  • Usage details including but not limited to login times, search terms, and pages viewed, buttons clicked, etc.
  • Device-specific identifiers like cookies and mobile device IDs

How we collect this information: Essential data is necessary for the platform to function, while other data helps us refine our services. We gather information when you visit our website or use our services through cookies, browser settings, and other third-party tracking technologies. Some of this data is automatically collected to help us:

  • Track user behavior and preferences
  • Test new features and resolve issues
  • Enhance platform performance

We do not collect this data for Learners unless the Parent has given Parent Verifiable Consent during enrollment.

Why We Collect This Information: Collected data is used to:

  • Ensure smooth functioning of our platform.
  • Conduct analytics, personalize user experiences, and prevent fraud.
  • Detect policy violations and enhance security.

Use of Tracking Technologies

  • Cookies and Browser Tracking: Cookies are small data files placed on your device when you visit our website. We use them to enhance user experience, track browsing behavior, and for marketing purposes. You can control how cookies are used by adjusting your browser settings or by accessing our Consent Preference Center for more options. You can also learn more by reading our Cookie Policy.
  • Log Files and Clear GIFs: We use log files and clear GIFs (also known as pixel tags or web beacons) to track user activities, such as page views and interactions with our services. This data helps us improve the platform and understand user behavior.
  • Do Not Track Signals: Your browser settings may allow you to automatically transmit a “Do Not Track” (“DNT”) signal to online services you visit. Note, however, that there is no industry consensus as to what site and app operators should do with regard to these signals. Accordingly, we currently do not monitor or take action with respect to DNT signals.

Inferred and Combined Data

  • Inferred Data
    We may infer new information from data we already have. For example, your interests in certain subjects can be inferred based on your search history or location derived from your IP address.
  • Combined Data
    We combine information from different sources, including vendors and social media, to create a more complete profile of our users. This helps us provide better services and targeted experiences.

Disclosure and Usage of Personal Information

Usage of Personal Information: 

The personal information collected from customers and teachers (collectively, "Customers") on our platform may be used for the following purposes:

  • Providing Content and Services through our Website, which involves processes such as communication functions; handling of transactions; identity verification; building of User relationships; facilitation of User-to-User interactions as deemed necessary; and the performance of obligations in relation to the provision of these services and content.
  • Support and Marketing Optimization on our platform, which involves processes such as responding to the queries and grievances of our Users; sending marketing information and recommendations with the Users’ permission; maintenance of records for our functional, support, and legal purposes; presenting content as effectively as possible; analyzing usage and activity on our Website; and improving or modifying our Services to enhance the User experience based on said queries, suggestions, grievances, analytical information, and other such direct and indirect feedback mechanisms in relation thereto.
  • Legal and Security Concerns, which involve processes such as protection of our Services, Property, and User Information from potential security threats; backing up of Services and associated data therein for recovery in the case of exigencies; facilitation of the technical functioning of our Website to keep it unencumbered by fraud and abuse; assurance of compliance with our Policies; reporting of suspected criminal activity; compliance with relevant laws, regulations and contractual obligations; and the protection of our legal rights as a platform.
  • Service Improvement and Technological Development, which involves activities to improve services, develop new features, and enable user interaction; addressing technical issues to ensure seamless operation of our platform.

Sharing of Personal Information

In line with these purposes, the personal information collected may be shared with and utilized by the following third parties -

  • Teachers: When Parents register for our Services, they acknowledge and consent to the fact that Teachers may receive specific personal data about themselves and their learners. This data includes Learner’s first name, date of birth, pronouns, information about the classes the Learners have taken, their requests, needs and interests, etc. This sharing of information occurs prior to the commencement of the course. 
  • Parents/Learners: Teachers may receive personal information from Learners directly if voluntarily provided. Please note that teachers on our platform are independent and not our employees or agents, and they do not process personal data on our behalf. While we act as limited agents, Teachers must adhere to the requirements for handling personal and confidential data outlined in this Privacy Policy

    Teachers must note that we may disclose certain personal information, in order to assist Learners (and the parents or legal guardians of minor Learners) in the course and teacher selection process as necessary through class description for instance.

    Parents should be aware that their Learners’ interactions with others during group participation in classes and activities on our platform may be visible and audible to all participants. This includes other Parents, Learners, Teachers, Coral Academy authorized individuals, and any other necessary individuals, such as interpreters. Parents also consent to interactions (inclusive of audio, video, messages, whiteboard interactions, emoji-based reactions, form responses, and any other interactions on the Coral Academy platform) being stored and shared as recordings to other Parents, Learners, Teachers, Coral Academy authorized individuals, and any other necessary individuals, such as interpreters. 
  • Partners: We collaborate with various organizations (such as schools, employers, non-profits, and tech companies) that may provide opportunities or funding for our services. When engaging with these partners, we may share information about learner engagement with them. You will be informed about these collaborations, typically because you used their codes or vouchers to access our services or explicitly linked your account with them.
  • Our Service Providers and Third-party Vendors: We may share your personal information with third-party providers, agents, and other organizations to help deliver our services. These include email, hosting, cloud storage, maintenance, backup, analysis, communication, marketing, business strategy, banking, payment processing, professional services, and background checks. We only share your personal data with third-parties when it is necessary for the smooth functioning of the Coral Academy platform.

    We may also share non-personal information, like aggregated user stats and demographic data, with advertisers, content providers, and analytics providers. This helps Coral Academy improve services, deliver targeted ads, and conduct research.

    We partner with Microsoft Clarity to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve and market our products/services. Website usage data is captured using first and third-party cookies and other tracking technologies to determine the popularity of products/services and online activity. Additionally, we use this information for site optimization, fraud/security purposes, and advertising.     We use Google Analytics to gather information about how visitors interact with our website. This includes details like pages viewed, time spent on the site, and referring websites. This data is collected and processed by Google in accordance with their privacy policies, and we may use anonymized IP addresses to protect your privacy. 

    We use Stripe for payment processing, which may store personal data to operate and improve its services, including for fraud detection, analytics, and authentication. You can learn more on Stripe’s Privacy Center.

  • Corporate Transactions: In the event of a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, sale of company assets, or transfer of service to another provider, your information may be transferred to a successor or affiliate, either alone or as part of the overall transaction, along with other assets. This transfer may take place during the transition or evaluation phase, even before the transaction is completed. However, whenever possible, we will ensure that the receiving entity upholds the privacy protections associated with your information.
  • Legal Compliances and Security Protections: In addition to required disclosures listed above, there may be situations where we deem it necessary to disclose personal information to comply with the law or protect the rights, property, or safety of Coral Academy, yourself, or others. Such instances may include, but are not limited to, the following circumstances:
    • Compliance with legal obligations or requests from individuals with legal authority;
    • Protection and defense of our rights, property, or the rights and property of our customers or partners;
    • Maintenance of appropriate security measures, including prevention or cessation of attacks on our computer systems or networks;
    • Preservation of the personal safety of our customers or the general public;
    • Mitigation of legal liability

Mandatory Reporting: It is mandatory for teachers to report any suspected cases of learner abuse or neglect that they become aware of during their interaction with Learners. Furthermore, teachers and partners may have an obligation to report suspected abuse or neglect to local authorities, and we expect full compliance from teachers and partners regarding their individual reporting responsibilities. Additionally, we may also report instances of suspected abuse or neglect as necessary.

  • Information Sharing at Your Request: You may choose to share information with third parties or ask us to do so on your behalf, including with the public. For instance, you may: 
    • send messages to others through Coral Academy or our team;
    • upload personal details to your user profile, which may be visible to other users;
    • share information about yourself with Educators and other participants in Classes or Activities;
    • and take part in discussion boards, social media, or public forums that may be accessible to the general public.

We ask that everyone respects the privacy of others and follows our guidelines on sharing information. This includes not disclosing private conversations, personal information, or other content that could cause harm, embarrassment, or conflict. For more details, please refer to our Terms of Service.

Teachers utilizing third-party tools

We strongly advocate for the limited use of third-party tools in the learning process, and we urge teachers to only utilize tools or third-party websites that comply with COPPA (Children's Online Privacy Protection Act), if they choose to use them at all. However, there may be instances where teachers prefer to use tools or sites that have not undergone our team's review.

By agreeing to the Privacy policy and Terms of Service, you also consent to the use of pre-approved third-party sites and tools. You have the option to decline the use of any of these sites or tools at any time by emailing us at [email protected].

In such cases, we recommend that parents carefully review the websites or tools listed by teachers for specific classes while going through the class description. It is essential for parents to examine these sites and tools and either give their consent or notify us or the teacher if they disagree with their usage at [email protected]. Parents and Learners should also thoroughly check email registrations and carefully review the description or listing of Classes before opting for them.

Learners’s Privacy

Coral Academy maintains a strong commitment to protecting the information entrusted to us by each Customer. We believe it is essential for every Customer to understand how we utilize the information we collect from them. Some features on our websites may be limited or blocked to protect learners' data (usually those under 13 or as required by law) and to prevent them from interacting with adults. 

Collection of Information

Coral Academy's Services are designed to operate without any third-party access to a learner's personal information. Our Website does not gather or retain any personally identifiable information from learners that is not necessary to facilitate the learning process for a Learner who may be a minor. We are committed to complying with the Children's Online Privacy Protection Act of 2013 ("COPPA").

We mainly collect personal data about learners from Parents/Guardians. As part of the parental consent process, Parents can allow us to collect and use their Learner’s personal information by giving us Parent Verifiable Consent during enrollment but can opt not to share it with third parties, unless it's necessary for performing our services.

In accordance with applicable laws, we may collect personal information from learners for the purposes outlined in our Privacy Policy, and we use, share, and process this information as stated in the policy. If we find that we have collected information from a child in violation of these laws, we will promptly delete it. We keep children's personal information only as long as necessary for its intended purpose and take steps to securely delete it to prevent unauthorized access or misuse.

What can learners do with Coral Academy?

Learners may mark activities they like or want to attend as “Favorites”, and we may use this information to make recommendations using AI (machine learning). Additionally, learners may share information during classes, activities, and when reporting safety or compliance issues.

Our activities are conducted via online videos, where video images, audio, chats, and messages of the learners are recorded.

Some information is necessary for us to provide our services. However, optional information can be left out without affecting the participation quality for the users.

Verified Accounts

Once we have verified parental consent, we use and share personal data collected from learners for the purposes outlined in our Privacy Notice. In some cases, we may ask additional questions or take further steps to verify the parent's identity before processing requests to review or delete their child's information, or to stop further collection of data about their child. 

We may recommend activities and features to Parents/Guardians and learners based on their engagement. We may send these recommendations and updates via push notifications on our platform if enabled by Parents. We may also send emails to Parents/Guardians with updates, surveys, or other information related to Coral Academy.

We use technology like cookies to track activities on Coral Academy, but we do not permit third-party analytics or advertising providers to collect personal data from learners. For more details, please see our Cookie Policy. We do not knowingly track children or collect data from third-party ad trackers on learners.

Consent for Class Recording

We take the privacy of our Learners and teachers very seriously. Coral Academy records all live classes for three main reasons:

  1. Provide coaching, feedback and support to our teachers: We use recordings to help instructors improve their teaching methods and ensure they are delivering the best possible learning experience for Learners.
  2. Maintain a safe and secure learning environment: Recordings can be used for investigating any potential issues that may arise during a class.
  3. Provide customer support and address operational needs, such as fixing recording glitches, and ensure compliance, enforcement, and safety.

We will get additional parental consent before using recordings for promotional or other unexpected purposes.

Teachers are asked not to copy or share recordings with anyone not authorized to have them and to avoid downloading or re-sharing them. While we expect all participants to follow our conduct standards, we cannot control or monitor what third parties (such as other parents) do with the recordings. 

Protecting Learner Privacy

  • Family Viewing Restrictions: Before viewing a class recording, families must agree not to share it with anyone outside of their immediate household. While Coral Academy cannot control the actions of others, we cannot be held responsible for the unauthorized sharing or distribution of any class recording and reserve the right to take appropriate action in the event of a breach of this agreement.
  • Learner Recording Restrictions: Parents and guardians are strictly prohibited to capture or share the faces or names of other Learners attending the class. Any such violations should be reported to our Trust & Safety team at [email protected]
  • Coral Academy Does Not Share Recordings: We will never share class recordings or any personally identifiable information of our community members outside of our platform for marketing purposes or for any other reason without your explicit consent.

Parental Control Over Learner Information

Parents and guardians setup learner profiles for their children, providing details such as name and age, etc. These profiles, referred to as "Learner Mode," have restricted permissions compared to Parent or Guardian accounts.

Parents provide this information to facilitate the connection between Learners and teachers, for the purpose of utilizing our Website and its Services. Coral Academy may securely store this information in digital format. Parents of learners under the age of 13 have the option to review or request the deletion of any personal information previously provided by the Learner or Parent that has been collected by Coral Academy to establish the connection between the learner and a teacher.

Additionally, learners should use “Learner Mode” exclusively to browse classes, bookmark their favorite classes and teachers, and attend sessions; they cannot enroll in any classes. Parents and guardians will be notified about activities on their accounts and will receive email updates regarding all services. They can un-enroll their learners at any time and have full control over the learner accounts. However, we strongly discourage partners from using the learner's account. They can view the learner's account but are not permitted to participate in learner classes or activities.

Request for Deletion

If you wish to review or delete such information, please contact Coral Academy at [email protected] and specify your request. We will reach out to you to facilitate the requested action, including refusing further collection or use of the information. Please note that requesting the deletion of records may result in the termination of your account, membership, or other services.

However, if we must retain the data for legitimate reasons such as fraud prevention, compliance, or safety, we will not delete it. Instead, we will continue to protect the data and delete it when appropriate.

Additionally, we will make commercially reasonable efforts to delete personal data collected from learners when it is no longer necessary for the purpose it was collected. We may not always be able to guarantee deletion from backups, but we will do so when possible. If backups are used for restoration, we will re-delete the records according to the original deletion request.

Review and Update Information

Parents or guardians can review and update certain information about their learner by logging into their account. In a parent or guardian account, you can review topics of interest inferred from your learner's likes and past classes or activities. At Coral Academy, you have certain rights regarding your personal information, based on applicable laws. Here's a simplified guide on how you can manage your personal data:

Your Privacy Rights

Depending on your location, you may have specific privacy rights regarding how your personal information is handled. These rights may include the ability to:

  • Confirm if we are processing your personal information
  • Request a copy of the personal information we hold about you
  • Update or correct any inaccurate or incomplete personal information
  • Request deletion of your personal information
  • Restrict or limit the way we use your personal information (e.g., if it’s held unlawfully or is inaccurate)
  • Object to how we process your personal information, especially if it's used for direct marketing
  • Withdraw consent you’ve given us for processing your personal information
  • File a complaint with the relevant data protection authority

If you're a Parent/Guardian, deleting your account may affect multiple Learners, and without specifying a Learner, all associated data will be deleted. Once deleted, you cannot restore any activity, classes, interactions with teachers, or payment history.

We will keep your personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy. We may also retain and use your information to comply with legal obligations, resolve disputes, handle regulatory investigations, or enforce our agreements and policies.

We may ask you to share your feedback and experience with our services as a testimonial through email, Google Forms, or on Trustpilot.
